How I Planned My Entire Party with ChatGPT (Launch Party Edition)
I hosted my launch party last month, and it was a genuine success - which honestly still surprises me a little, because actual people have to show up for it to be a success. And they did. (Thank goodness otherwise my goody bags would have been really dumb to hand out instead of Halloween candy.) I actually love hosting and launching the Modern Mom life gave me the perfect excuse to host a lovely evening of friends. (Not to mention announcing to the world: “I’m doing a new thing at age 47 and I’m not sure exactly what it will look like yet but please join me to find out!”) But, this time my hosting efforts were much more organized. (Thanks ChatGPT!) Which allowed for the lead up to be much less chaotic. Here's exactly how I did it.
Step 1: Creating the Invitation
First things first, I started with the invitation. I gave ChatGPT the vibe I was going for - simple, modern, nothing fussy - along with the party details, a photo, and my logo. From there, it gave me several options to look at, and I just kept tweaking until one felt exactly right. It took what's usually a design headache (or an expensive Etsy/Canva rabbit hole) and turned it into something I actually enjoyed doing- in minutes.
Step 2: Planning the Menu
Instead of digging through fifteen open tabs and half-remembered Pinterest boards, I gave ChatGPT my guest count, the vibe I wanted, and a few must-have dishes, and asked it to help me build out a full menu around them. It's especially good at filling gaps you didn't think of - the dish that balances out something rich, an easy dessert that doesn't need the oven when your oven's already full of something else. I generally have a rule of “don't try anything new for a party “ which I honestly break every single time. And I only remember that rule after I've had trouble with the instructions.
Try a prompt like: "I'm hosting a party for [X] guests with a [vibe] theme. I already want to serve [dishes]. Help me round out the menu with 2-3 more dishes that balance it out."
Step 3: Generate Your Grocery List
Once the menu's set, I had it pull every ingredient across all the recipes into one consolidated grocery list, organized by store section so I wasn't backtracking through the store. This alone saved me the usual "wait, do I already have this" spiral. It also takes the remembering out of my brain and puts it on the list so that when it was time to grocery shop I didn't have to go back and try to remember what I was doing again.
Try: "Here's my final menu: [list]. Combine all the ingredients into one grocery list, grouped by grocery store section, and flag anything that shows up in more than one recipe."
Step 4: Produce Printable Recipe Cards
This step was for me. When I'm making several things at once I really like things to be in the simplest, stripped down format that is consistent from recipe to recipe. When the recipe is in its cleanest form and I have the ingredients and instructions right in front of me, I feel like I can multitask. When I have to remember to print things from Pinterest I have trouble with the format not being correct ads popping up on this screen and then my printer printing them or having to give up my email address to do it. I have ChatGPT do this for all recipes that I use but for a party day it's especially important for me because the multitasking is at peak.
Step 5: Create a Day-Of Countdown List
This is the step that actually saved the day. I asked ChatGPT to take my whole menu and build a countdown - what to prep the night before, what to start first thing, what needs to happen 30 minutes before guests arrive. Having it laid out in order meant I wasn't standing in my kitchen mid-party trying to remember what I forgot. Each hour I was able to check a task off and move on to the next one without wasting valuable time.
Try: "Build me an hour-by-hour countdown for the day of my party, starting the night before, based on this menu: [list]. Guests arrive at [time]."
Step 6: Prepare the Perfect Goody Bags
Even the goody bags got the same treatment - I used it to brainstorm a few options that matched the party's theme and budget, then narrowed it down from there. It's an easy way to get past the "I don't know, just anything cute" mental block. I wanted to give away something that was very me, that pointed back to The Modern Mom Life and gave a few more action steps of support. I also wanted something that genuinely screamed FALL because that's where my head is right now. And of course I wanted something sweet and yummy because that's exactly what I would be looking for in a goody bag, obvi.
The Actual Takeaway
None of this made the party plan itself - I still made every decision. What it did was take the mental load off the logistics of it, so I actually got to enjoy hosting instead of white-knuckling my way through a to-do list in my head. If you've got a party coming up, this is genuinely one of the easiest ways to use AI in a way that pays off immediately.
But the biggest reward had nothing to do with anything that came from me. It was women showing up to support other women, to hear new ideas, to meet new people, And to be just downright awesome. The night also gave me an opportunity to honor my mom, the OG Modern Mom who inspires me daily to take on this new endeavor. Any opportunity to shine a light back on her will always be welcomed.
